Most photo sets don't fail because the adjuster missed the damage. They fail because the file can't prove context — a close-up of a shingle with no way to tell which slope it came from, an interior stain with no shot establishing which room, which wall, which floor. The fix is not more photos. It is a capture order.
One caveat before the list: your carrier or client guidelines control. If an assignment specifies a photo protocol, that protocol wins. This checklist is a baseline for when the guidelines are silent — and a habit that makes any protocol easier to satisfy.
The rule that organizes everything: wide, then mid, then close
Every subject gets three distances before you move on:
- 1.Wide — establishes where you are. The whole elevation, the whole room, the whole slope.
- 2.Mid — establishes the relationship. The damaged area within its surroundings, with a fixed landmark (window, door, corner, vent) in frame.
- 3.Close — establishes the condition. The damage itself, near enough to show material and severity.
A reviewer who has never seen the property should be able to walk your photo set like a tour. If any close-up can't be traced back through a mid and a wide shot, it's an orphan — and orphaned close-ups are the single most common reason photo documentation gets challenged.
The capture-order checklist

Close-ups need a scale reference
A hail spatter mark with nothing beside it could be any size. Put something of known dimension in the close-up frame — a tape measure is best; a coin works when that's what your free hand is holding. Chalk-mark test squares before shooting them, and photograph the square empty before counting strikes into it. If you note conditions like granule loss, shoot the gutter or downspout evidence that supports the note.
Interior rooms have their own order
Work each affected room the same way, every time:
- 1.Doorway shot looking in — the room's establishing frame.
- 2.Ceiling, then walls, then floor. Damage travels down; your photos should too.
- 3.Mid shot of each damaged surface with a corner or opening in frame.
- 4.Close-up of each distinct damage area.
- 5.Anything you moved to inspect — shoot it before and after moving it.
- 6.In dark spaces — attics, crawl spaces, interior closets — use the flash and check each shot for blur before you leave the space. A blurred close-up discovered at the desk is a photo you don't have.
Resist the urge to photograph only the damage. The undamaged wall opposite a water-stained ceiling is evidence too: it bounds the loss.
The misses that get files kicked back

Before you leave: the sixty-second review
Do this in the driveway, not the office. Scroll the set once, in order, and ask three questions:
- Can a stranger tell where every photo was taken?
- Does every close-up have its mid and wide ancestors?
- Is every damage area from your notes represented — and every photo in your set explainable?
If the answer to any of these is no, you are standing in the one place where the fix costs thirty seconds instead of a return trip.
