Account Deletion Policy

This policy explains how to delete your Adjuster Copilot account and exactly what happens to your data when you do. Account deletion is initiated from within the app.

1. How to delete your account

In the app, go to My Account → Delete Account, then confirm. You do not need to contact support or an administrator to start the process.

If you use an administrator account, the in-app deletion control is not shown on the administrator account screen. Contact privacy@adjustercopilot.ai and we will process the deletion for you. You can also contact privacy@adjustercopilot.ai with any questions.

2. What happens immediately

As soon as you confirm, your account is disabled and you are signed out. You can no longer sign in. This takes effect right away.

3. What happens to your data

After a grace period of 30 days (see Section 5), your personal data is deleted, anonymized, or retained only as described in this section and Section 4. Deletion does not mean that every trace of you disappears; Section 4 explains exactly what remains and why.

From your account record, your name, address and location details, app preferences, and login credentials are removed. Your email address is replaced on your account with a non-identifying placeholder and your password is disabled, so the account can never be used again. Records that exist only for you — your notifications and notification preferences, your message-thread memberships, your sign-in history, your saved devices, and your verified email addresses — are deleted outright.

Your account record itself is retained in anonymized form rather than erased, so that work records that reference it remain internally consistent. After anonymization it no longer contains your personal details.

4. What is retained, and why

Work records (Customer Content). Claims, inspections, photos, narratives, signatures, documents, and their audit trails are created in the course of claims-handling work and are maintained for the Customer whose workspace they were created in — this is the "Customer Content" defined in the Terms of Service. They are retained under the Customer's instructions, its retention policy, and applicable insurance recordkeeping obligations, and are not removed by an individual user's account deletion. Where such a record must show who acted, your identity on the record is anonymized rather than the record erased.

Security and compliance records. For accountability we keep administrative and inspection audit logs, and a record of the legal documents you accepted — the document type, the version, and the time of acceptance. Because these are records of who did what and what was agreed, some audit entries keep the email address you used at the time the action was taken. These records are not used to contact you or to build a profile; they exist so that actions taken on the platform remain attributable and so that legal agreements remain provable.

Your workspace. If you signed up as an individual, your workspace was created under your own name. The workspace record — including that name — is retained together with the work records it contains.

Invitations. If you were invited by email, or you invited someone, the invitation record keeps the email address it was sent to.

Billing records. If your workspace has purchased a subscription, payment and subscription records are retained by us and by our payment processor (Stripe) as financial records. Deleting your account does not delete them.

Backup copies. Deleted or anonymized data may persist in routine system backups for a limited period after deletion, until those backups age out. Backups are not used to restore deleted personal data except where recovery from a system failure requires it, in which case the deletion is re-applied.

5. Timing

Deletion is scheduled immediately on confirmation; your account is disabled at once, and your personal data is anonymized after a 30-day grace period by a scheduled job. The grace period guards against accidental or unauthorized deletion — if you deleted your account by mistake, contact privacy@adjustercopilot.ai within the grace period.

6. Legal holds and obligations

Anonymization or deletion may be delayed or limited where retention is required by law, regulation, or a legal hold — for example, recordkeeping obligations applicable to insurance claims, or preservation obligations in connection with litigation or an investigation.
