Privacy Policy

Adjuster Copilot ("the Service") is a field-inspection and claims-operations platform provided to insurance adjusters, independent adjusting (IA) firms, third-party administrators (TPAs), and carriers (collectively, "Customers"). This policy explains what data the Service processes and how it is handled.
1. Who controls the data
The Service is business-to-business. Claim, policyholder, and inspection data are provided and controlled by the Customer (the adjusting firm/carrier), which is the data controller. Adjuster Copilot acts as a data processor handling that data on the Customer's behalf under its agreement with the Customer.
2. Data we process
- Account data: name, email, role, and address/location you enter for routing.
- Claim & inspection data: claim/policy identifiers, insured names, phone numbers, email addresses, and property addresses, loss details, questionnaire answers, damage items, narratives, and signatures — entered by adjusters or received from a Customer's claims-management system.
- Photos & documents: inspection photographs and attached documents (which may include property and, incidentally, personal information).
- Location data: GPS coordinates captured to document inspections and to plan routes, and a geocoded location derived from addresses you enter.
- Operational/diagnostic data: login events, error/crash reports, and AI-usage metering used to operate, secure, and improve the Service.
3. How we use data
To provide the inspection-to-report workflow; to authenticate and authorize users; to plan routes; to generate AI-assisted narratives; to monitor reliability and security; and to comply with legal obligations. We do not sell personal information.
4. Sharing & subprocessors
We share data with infrastructure subprocessors strictly to operate the Service. The current subprocessors are:
- Cloudflare (R2) — object storage for inspection photos and documents.
- Sentry — error and crash diagnostics.
- Anthropic — the AI provider that processes the text you submit to generate AI-assisted narratives.
- OpenCage — geocoding (converting the property/insured addresses you enter into map coordinates for inspection verification and routing).
- Google (Maps / Street View) — map display and property imagery derived from the addresses you enter.
- Transactional email provider — delivery of system emails (e.g., invitations, password resets).
Each processes data only as needed to provide its function and acts as our processor under appropriate terms. We do not sell personal information. An up-to-date subprocessor list is also available to Customers on request.
5. Security
Access is authenticated (JWT) and authorized by role with tenant isolation; stored objects are private and access is time-limited; secrets are not committed to source control. No system is perfectly secure, but we apply controls appropriate to the sensitivity of claims data.
6. Retention & deletion
Claim and inspection records are retained for the Customer per their agreement and applicable recordkeeping obligations. Individual users may delete their account from within the app as described in the Account Deletion Policy (the account is disabled immediately and personal data is anonymized after a short grace period); note that claim/inspection records created in the course of work belong to the Customer and are governed by the Customer's retention policy, not removed by an individual user's account deletion.
7. Your choices
Depending on your jurisdiction (e.g., GDPR/CCPA), data subjects may have rights to access, correct, or delete personal data. Because the Customer controls claim data, direct such requests to the relevant Customer; we will assist the Customer in fulfilling them.
8. Children
The Service is not directed to children and is not intended for use by anyone under 18.
9. Changes
We will update this policy as the Service evolves and post the revised version with a new effective date.
